These Terms govern use of TrialOps, an applicant and trial-shift management service for businesses provided by Office Hasegawa. Store registration, the store application, and applicant pages are available. Applicants can submit onboarding documents through a private page. Submitted files are stored in private storage but are not automatically scanned for malware.

1. Service and contract

TrialOps is a SaaS for managing applicants, interviews and trial shifts, compensation offers, and onboarding. The person who registers represents that they are authorized to bind the store or operating business. Each subscription covers one physical store; each additional store requires a separate subscription. These Terms apply when the service becomes available for use.

2. Accounts and use

Keep account information accurate and protect your credentials. The contract owner manages billing and subscription actions. Other store staff have the same operational permissions. Applicants can submit information through a private link provided by the store. Plan limits are shown at signup and in the service.

  • The free trial lasts 30 days from completion of store registration. No card is required, and it does not convert automatically to a paid subscription.
  • Pro costs JPY 12,800 per store per month, inclusive of applicable taxes. Stripe Checkout collects a billing address and calculates applicable tax automatically based on the seller’s tax registrations, the customer’s location, and Stripe settings. Any applicable tax is shown before confirmation.
  • Pro renews monthly. The contract owner can open Stripe’s billing portal from the app and request cancellation using the options and timing shown there. The effective date and access period are those displayed by Stripe and TrialOps during cancellation.
  • The trial permits up to 50 new applicants in total; Pro permits up to 50 new applicants per month and up to 50 staff members per store. The service display controls detailed limits.
  • After a failed payment, a seven-day grace period may apply. We may restrict new business records after the grace period ends.

Charges begin only after the customer separately subscribes to Pro through Checkout. Stripe processes payments under its own terms. We do not refund used periods except where required by law.

3. Customer responsibilities

You must have authority to enter applicant and staff information and provide any required notices, consent, or other legal basis. Enter only information needed for recruiting and do not share it between stores. Send private applicant links securely and prevent unauthorized forwarding or public disclosure.

You are responsible for recruitment, age and identity checks, business permits, recruitment and employment terms, wage payment, and compliance with applicable laws. TrialOps does not introduce or place candidates, advertise jobs, make hiring decisions, execute employment contracts, manage attendance or payroll, or transfer wages. Verify the accuracy of records and the terms communicated to applicants.

4. Prohibited use and documents

You must not use TrialOps unlawfully, infringe third-party rights, enter personal information without authority, unlawfully recruit minors, facilitate trafficking, sexual exploitation, or other unlawful conduct, attack the service, or transmit malware. When handling identity or age-verification documents, follow applicable law and limit access and retention to what is necessary.

Applicants can submit PDF, JPEG, PNG, or HEIC files up to 10 MB through a private page. Files are stored without automatic malware scanning. Customers must limit requests to necessary documents and take appropriate steps to check submitted files.

5. Data and intellectual property

You retain rights in the data you submit. You authorize Office Hasegawa to process that data as needed to provide, maintain, and secure TrialOps. Personal information is handled under the Privacy Policy and, where we process applicant or staff personal data on your instructions, the Data Processing Addendum (DPA). Rights in TrialOps software, design, and marks belong to Office Hasegawa or their respective owners.

TrialOps records and displays support recruiting workflows. They do not guarantee data accuracy, hiring outcomes, completed age or identity checks, or legal compliance. TrialOps is not an electronic-signature service, an employment contract, legal advice, or a payroll system.

6. Restrictions, termination, and data

We may restrict or suspend use as needed to comply with law, address a material breach, protect security, respond to non-payment, or handle a third-party outage. Maintenance and network issues may affect availability.

After a trial or paid subscription ends, we may restrict new business records while allowing some viewing and export. Data is not retained indefinitely. For an applicant whose applications are all rejected, withdrawn, or canceled, we delete or anonymize names, contact details, profile information, and similar personal data 90 days after the final decision, while retaining the application and decision history after removing direct applicant identifiers. We delete document originals 30 days after onboarding is completed, withdrawn, or canceled, unless a retention hold applies. Audit logs are deleted one year after creation. Daily processing may mean deletion is not immediate at the deadline. D1 recovery history may retain a copy of deleted data for up to 30 days. The contract owner or the individual concerned may request deletion at [email protected]; we verify identity and authority, the scope of the request, and any legal retention requirements.

7. Warranty and liability

We work to operate TrialOps reliably but do not guarantee uninterrupted availability or suitability for a particular purpose. To the extent permitted by law, we are not liable for indirect or special loss or loss of profits. Nothing in these Terms limits liability for wilful misconduct or gross negligence, liability that cannot be limited by law, or applicable mandatory protections.

8. Changes and governing law

We may update these Terms for changes in law or the service. We will identify the effective date and notify users of material changes in the service or by email, and follow any procedures required by law. Japanese law governs these Terms. The Tokyo District Court has jurisdiction as the court of first instance for TrialOps disputes, subject to mandatory rights under applicable law.
